What Personal Data We Collect and Why We Collect It

The Vocal Artist Studio cares about your personal data and only processes the following information:

  • Name, phone number, email address

  • Lesson notes

Data is collected and processed for the following reasons:

  • Consent – e.g., you may give explicit marketing consent to receive studio updates via email. This is managed via a double opt-in system with an unsubscribe option in every email footer.

  • Contract/Service – e.g., contact details are needed to provide services, such as lesson times or bookings.

  • Legitimate Interests – e.g., where there is clear benefit, minimal privacy impact, and an expected use of the data.

Comments

When visitors leave comments on the site, we collect:

  • Data shown in the comments form

  • Visitor’s IP address

  • Browser user agent string (for spam detection)

An anonymised string created from your email address (hash) may be provided to check if you are using the Gravatar service. Once your comment is approved, your profile picture may be publicly visible alongside your comment.

Media

If you upload images to the site, avoid including embedded location data (EXIF GPS). Visitors may be able to download and extract location data from uploaded images.

Mail

If you choose to receive updates from The Vocal Artist Studio, you will be asked for your email address and optionally your first name.

Emails are delivered through a third-party provider.

Student Notes & Data Security

  • Brief lesson notes may be made during sessions.

  • Notes are confidential and identified only by first name.

  • Notes are stored securely on a password-protected computer.

  • Some materials, such as videos and lesson-related files, may also be stored on third-party services (e.g., Dropbox, email, text message, or WhatsApp). While The Vocal Artist Studio uses these services in good faith, students should make themselves aware of the privacy policies of these companies and let The Vocal Artist Studio know should there be a client preference that a service not be used.

  • Students are encouraged to keep their own notes and materials in a personal folder of work.

  • Notes and materials are retained only as long as they are useful for learning purposes and will be deleted if a student requests it.

Data Retention

The Vocal Artist Studio only keeps personal data for as long as it is needed for learning purposes or service provision.

  • Data is kept securely to the best of our ability.

  • Data may be stored on third-party servers (such as Dropbox or other cloud providers).

  • Data will be deleted if and when a client requests it.

Your Rights

You have the right to:

  • Request a copy of any personal data we hold about you

  • Request corrections or updates to your data

  • Request deletion of your data

Embedded Content from Other Websites

Articles on this site may include embedded content (videos, images, articles, etc.).

  • Embedded content behaves as though you visited the other site directly.

  • Such sites may collect data, use cookies, embed third-party tracking, and monitor interactions (if logged in to those services).

Data Retention for Comments & Accounts

  • Comments: retained indefinitely, to recognise and approve follow-ups automatically.

  • Registered Users (if applicable): we store the personal information in their profile. Users may edit or delete their data at any time (except username). Website administrators can also view and edit this information.

Where We Send Your Data

Visitor comments may be checked through an automated spam detection service.
